Position: Administrative Coordinator
Where: Seattle
What: The Administrative Coordinator position is primarily administrative, requiring strong attention to detail, accuracy, and tact. The successful candidate will have the opportunity to take on additional responsibilities and develop new skills as s/he grows in the position. Core responsibilities of the position include the following:
RESPONSIBILITIES:
Executive Support: manage Executive Director’s calendar and travel; provide general administrative support to Executive Director, STEM Outreach Project Director, and the Program Manager and instructors for the Ada Developers Academy
General Administrative Tasks: maintain database and mailing lists; perform accounting-related functions (billing, deposits, check requests), following set procedures; serve as main contact for general phone and email inquiries; order supplies and equipment as needed; manage incoming mail, subscriptions, and outgoing mass mailings
Meeting Logistics: coordinate scheduling, room reservations, and catering; compose meeting invitations and track attendance; handle room set-up/clean-up and A/V needs; prepare meeting materials and take notes as required
Event Support: collaborate with lead staff members on planning, outreach, registration, and on-site logistics for monthly Science & Technology Discovery Series; participate in the planning and execution of annual State of Technology Luncheon, biennial Technology Institute retreat, and other special events; manage invitation and registration lists; prepare nametags; assist with set-up/clean-up and other on-site logistics
Volunteer Coordination and Program Support: coordinate and schedule volunteers for the Ada Developers Academy and provide Ada program support as needed
Other projects as assigned
This job requires the flexibility to arrive early or work late for at least 2 events per month, and as needed in connection with large annual events. Candidate must be able to lift 25 pounds and have a Washington State driver’s license.
QUALIFICATIONS:
- Highly organized and efficient
- Must have excellent attention to detail
- Self-starter with a positive, can-do attitude and strong work ethic
- Capable of self-direction while working as a member of a close-knit team
- Strong customer service orientation, with the ability to interact effectively and graciously with senior volunteers, including high-level company executives and community leaders
- Excellent writing skills a plus
- Proficient in Microsoft Office Suite: Outlook, Word, Excel, and Access
- Basic Adobe Photoshop, Microsoft PowerPoint, and HTML skills and familiarity with online communications tools a plus
- Bachelor’s degree preferred
